Director of First Impressions
We are seeking a Director of First Impressions to join our team! This role is crucial in creating a welcoming and professional environment for clients, visitors, and employees. The Director of First Impressions will manage the reception area, handle client inquiries, and provide office and administrative support to ensure smooth operations within the firm.

Key Responsibilities:
Reception / Office Management:
- Greet clients and visitors with a warm and professional demeanor.
- Answer and direct phone calls, take messages, and handle inquiries promptly and accurately.
- Maintain general appearance of office facilities, equipment, and manage inventory and supplies.
- Opens office/lobby in the morning, unlocks doors, turns off night-ring, replenishes lobby, coffee station, and other appropriate tasks
- Closes office/lobby at the end of the day, secures doors, etc.
- Responsible for organizing firm culture events, meetings, and conferences.
- Coordinate mail, couriers, and deliveries.
Client Services:
- Manage appointment schedules, including booking, confirming, and rescheduling conference rooms for client meetings.
- Provide clients with necessary information and assistance, ensuring a positive experience.
- Assist in the onboarding process for new clients, including gathering required documentation and setting up initial meetings.
- Administrative processing of client payments, in-person or over the phone.
- Responsible for organization, logging in and the distribution of all incoming client source documents for tax returns and wealth management services.
- Responsible for answering and the distribution of any existing client and new client inquiries in person or online.
Communication:
- Distribute internal communications and announcements to staff as needed.
- Coordinate and create firm content for social media including firm events, and news.
- Compose, design and distribute quarterly Firm newsletters.
Preferred Qualifications / Requirements:
- Associate or bachelor’s degree preferred, or relevant experience.
- Previous experience in a reception or administrative role.
- Experience in a CPA or financial services firm is a plus.
